The collaboration status screen contains a history of the electronic collaboration requests that have been submitted, along with status details about each. This provides a single place where you can go to interactively review collaboration progress, who has accomplished which tasks, etc. If you want to learn more about how the electronic collaboration feature works, you can click here to learn more.
The main things you will want to know about the collaboration status screen include:
Find the entries(s) you want quickly and easily:
- Clicking a column heading sorts the list based on the data in that particular column, such as sorting by job title, collaborator name, deadline or status.
- Clicking the same column heading subsequent time(s) toggles sorting between ascending and descending order.
- Depending on your screen size and resolution, you will view available status entries in groups that can fit on your screen. If you have more entries than can fit on one screen, click the arrow buttons at the bottom of the list to move forward and backward through additional group(s) of available entries.
- Entering a keyword or multiple keywords in the Search box below the list filters the number of entries displayed. The keyword(s) you enter here will be used to find entries that match specific criteria. For example, if you enter the word “transport”, you will be presented with a subset of the list that contains “transport” as part of the job title, part of the classification, or even part of the an email address.
- Search for a keyword by typing the desired keyword or phrase and then pressing the Enter key on your keyboard, or by clicking the magnifying glass icon next to the search box.
- Remove a keyword filter by clicking the X button next to the Search field, or by backspacing over the characters you typed and pressing the Enter key on your keyboard.
Advanced users: For even more search flexibility, you can indicate which column(s) you want to search by clicking the small down arrow next to the Search box and placing a check next to the desired column(s) to be searched. Un-check the columns that you don't want to be searched.
The search features can be especially helpful if you have a large number of entries to look through, if you want to look for requests that have a specific deadline date, search for requests sent to a particular collaborator, etc.
The following is a listing of each data field that is found in the collaboration status screen, along with a description of each.
- Title The job title for which a collaboration request was sent. Be aware that not every job title in your library may have had a collaboration request sent for it, therefore this list may not be a comprehensive listing of all the titles in your personal job description library.
- Job Code The job code that has been assigned to one or more job titles in your job description library. Some organizations use job codes to identify unique jobs in place of, or in addition to, job titles. Having both the job title and job code separately available provides maximum flexibility about how you name, track, and classify jobs in your organization.
- Classification The master list of DBDescriptions™ job titles contains broad classifications such as Accounting, Admin/Support/Clerical, Banking, City & County Government, etc. This helps users find the titles they are looking for quickly and easily when adding titles to their personal library. However, once the title is part of your library, you can change the classification to whatever you wish.
- Internal Notes This field contains any internal notes that have been entered for a particular job description. This information can be used as an internal reference, but does not appear on the job description output.
- Reminder Date You can set a specific date for reviewing each separate job description. Setting a review date will have DBDescriptions™ automatically send an email message to you on the date specified, reminding you to review the job description(s) that you have set reminder dates for.
- Last Modified Indicates the date that this job description was last modified.
- Purchase Date Indicates the date that a subscription was purchased for a job description. Each purchase gives you access to the live DBDescriptions™ system for a period of one year. See also Expire Date above for more details.
